CRM least-privilege access review for a sales support assistant

Sales teams often give a support specialist more CRM access than the assignment requires. A short access review can protect customer records while still giving the assistant enough room to maintain queues, prepare reports, and document follow-up. The goal is not to make the role powerless. It is to match each permission to an approved sales-support task.

Start with the work, not the role name

List the exact queues the assistant will handle: lead enrichment, activity cleanup, meeting preparation, or pipeline reporting. For each queue, identify the objects and fields that must be viewed, edited, exported, or shared. A role label such as “sales operations” is too broad to be an access specification.

Separate maintenance from judgment. The assistant may correct a missing phone number from an approved source, while a sales manager decides whether a lead is qualified or whether a forecast category should change. Put those boundaries in the brief and make exceptions visible.

Test access with representative records

Use a small set of fictional or safely isolated records. Confirm that the assistant can complete the approved task, cannot delete or bulk-export records unnecessarily, and cannot alter ownership or automation settings without review. Check both the normal path and a record with conflicting evidence. The correct response to an unclear record is an exception, not a guess.

Keep a review table with the permission, business reason, test result, approver, and removal date. Recheck access when the assignment changes, a team member leaves, or the CRM adds a new sharing option.

Review the trail

After the test, compare the permissions granted with the actions actually needed. Remove unused rights and retain evidence of the decision. A recurring access review gives a sales leader confidence that delegation increases execution capacity without quietly expanding the blast radius of an error.

If a permission is necessary for a specific queue, document the queue and the approving manager. If it is only convenient, leave it out until the business case is clear.
